Replace the paper book with a searchable vehicle record
A handwritten register can record an arrival, but finding that entry later depends on legible writing, the right book and a complete handover. A digital gatehouse logbook links the registration, movement time, site, gate and guard in a record authorised staff can review.
Use Priority Service where a person checks vehicles at a staffed entrance: a warehouse gatehouse, a construction access point, a commercial site or a client location managed by a security company. Your guard keeps responsibility for checking the registration and following the site’s access procedure.
Photograph, check, record IN
The guard captures the vehicle on an Android phone. Included number plate reading suggests the registration; the guard checks it and corrects it when necessary. Manual entry is also available. Review the vehicle permit and refer an exception to a supervisor when approval is required before recording entry.
Record departure and review the visit
Record OUT when the vehicle leaves, then review the recorded arrival and departure in the history. A timestamp describes the action the guard saved; it does not prove what happened elsewhere on site. Agree how the team handles missed or disputed movements as part of your gate procedure.
Find records and export CSV reports
Authorised administrators use the web portal to review visit history and export CSV reports. Searchable records help when answering a delivery query or checking a shift handover. Set responsibilities for who can review, export and share information before using real vehicle records.
One gate, connected gates or several sites
Single Gate covers one physical site with one gate for £59/month. Multi-Gate covers one site with two or three connected gates for £99/month and includes shared vehicle records at that site. Both plans include unlimited guards and users. Four or more gates at one site require a quotation.
For several locations, discuss each site and its gates rather than counting all entrances as one site. The published multi-site options include a 10% base-plan discount for three to five sites and a custom quotation for larger operations. See the full prices and terms.
Phone number plate reading and vehicle details are different
Reading a registration from a photograph is included. Available make, model and colour may be suggested from MOT data, subject to coverage. Optional live provider lookups for vehicle details cost £20/month per organisation, including 1,000 chargeable lookups shared across its sites; further chargeable provider lookups cost 5p each.
Priority Service supports a guard-led recording and approval workflow. Automatic barrier operation and fixed ANPR camera integrations are not advertised features. If you need those capabilities, establish that requirement before choosing a system.
Check the fit before replacing your register
- Which entrances and exits will your guards record?
- Who manages permits and answers approval requests during each shift?
- Which Android phones and network connections will be used at the gate?
- Who needs access to visit history and CSV exports?
- How will your team check incomplete entries and hand over between shifts?
A vehicle register does not establish that every passenger or pedestrian has been registered. Keep people attendance, emergency roll-call and site safety procedures appropriate to your operation.
